Rental General Use Guidelines

Host: A volunteer UUCB host will be assigned to most rentals. The host will open and close the building and show renters where various resources are. The host will monitor use of the building and ensure the renter follows building use guidelines. Hosts are not responsible for set-up or clean-up of a rental event.

Arrival/Departure Times: Access to the rental space begins at the time specified in the Rental Agreement. Early entry is not allowed. Departure later than 15 minutes will be assessed a fee of $25.00 per half hour and will be billed to the renter.

Information Sharing: The Event organizer(s) will share information from these Use Guidelines and the Rental Contract with those involved with setup, cleanup and running of the event.

Promotion: As stated in the UUCB Policy for Use by Community Groups: “Rental users may state the name and location of UUCB in their promotional materials. All promotional pieces must clearly show the sponsor of the event, whether or not the event is affiliated with UUCB, and who is the beneficiary of proceeds, if any.” Unless an event is explicitly co-sponsored by UUCB, promotional material (press release, poster, social media, etc.) should state that the event is “Not sponsored by UUCB”.

Rental Fees: A deposit of half the total fee is due at the time of application. The balance is due two weeks prior to the reservation date. Make checks payable to Unitarian Universalist Church of Brunswick. Mail checks to UUCB, PO Box 129, Brunswick, ME 04011. Rental deposits are nonrefundable if cancellation is made within a month of the reservation date.

Alcoholic Beverages: It is the policy of UUCB that alcoholic beverages shall NOT be served. (note the exception for a Rite of Passage event wine toast – see the UUCB Alcohol Policy)

Smoking/Drug Use: There is no smoking, e-device or drug use in the church building or on church grounds. Please notify your guests upon their arrival.

Firearms: Firearms are prohibited on UUCB property.

Children: Children are very welcome and must be under the care of supervising adults at all times. The Nursery is for use by ages 2 and under only. It is available only for events that rent the Sanctuary.

Piano: Piano(s) may not be used without explicit permission or rental. No items may be placed on any piano. The piano is tuned on a schedule. If you feel the piano needs tuning for your event, you can request arrangements be made for the piano to be tuned at your cost. Note the cost to tune the piano runs between $250.00-$400.00.

Candles: Only electric or battery-operated candles may be used during your event. No open flames are allowed.

Décor/Decorations: No tape or tacks are to be used on walls or doors.

Kitchen Use: Use of kitchen and kitchen equipment, including stove, dishwasher and coffee maker, requires supervision and/or training. Please see the UUCB Host and Kitchen Operation Manual. Kitchen is NOT available for commercial or personal rental. No use of coffee supplies other than filters. Please provide your own coffee, cream, teas, etc. Take your supplies with you when your event is over.

Green Kitchen: Use only reusable dishes, glasses and flatware made of natural materials (not plastic) in the church building and at Church functions. Use cloth table coverings and napkins for sit-down service (recycled paper napkins may be used for stand-up/finger food service). Refer to the procedures posted in the kitchen. The church has some cloth table coverings and napkins for rental use. They are located in the storage room and marked for rental purposes, or you may provide your own cloth table coverings and napkins. See the Green Kitchen Policy.

Damage: Applicant accepts responsibility for all damage incurred to the facilities, including musical instruments and all other equipment or furniture, resulting from use or abuse during the rental period. A returnable Damage and Additional Cleaning Deposit of up to $250 may be required.

Clean Up: Applicant agrees to clean up and return the space to its original orientation. The space should be in a condition acceptable for use by the Church or another group directly after this event. If not, in the judgement of the UUCB Host, a custodial fee will be billed at the rate of $50/hour. Unless specific Custodial or Kitchen Clean-up Services were included in the rental agreement, renter is expected to do the following:

  • Replace all tables and chairs where they were
  • If items or equipment were moved for your event, return it to its original
  • Leave the building and grounds in the same condition they were upon
  • Remove ALL trash from all spaces used and discard in the receptacle on the side of the building. All recycled items should be placed in the recycling receptacle. All food waste should be placed in the tumbling
  • If linens were used, place them in the laundry basket located in the kitchen
  • If dishes were used, wash and put away according to Hospitality Manual
  • Remove ALL food and beverages from the premises upon

Keys: If a key is issued, Applicant agrees to return it promptly after the rental period; otherwise a fee of $20 per missing key will be billed.

UUCB Staff or representatives: UUCB Staff or representatives may enter the premises at any time to inspect, repair, clean and/or maintain the premises, retrieve or return property, work in the offices, or for any other purpose.

Church Business: Church business takes priority over any rental request. Church business may be conducted in all spaces not specified in the Agreement for a rental event.
